Dental and medical offices: licensing the admin side of the practice

Alongside patient charts sit years of appointments, insurance chasing, referral letters and front-desk routines. AI companies license that admin trail. Clinical records are another matter.

01

What a buyer wants from a practice

Appointments and changes to them, handling referrals, chasing insurers and bills, reception procedures, and the emails tying it together.

Charts, scans and clinical notes normally stay out entirely, and regulated material drags the price down. Offering admin records only keeps the deal simple.

02

Is the practice big enough?

Buyers typically set a floor of 20 to 30 employees, with a few setting no floor. A single-dentist office of eight sits below most floors. A group practice or multi-location clinic may qualify.

03

What it could pay

Nobody quotes a figure specific to medical or dental practices. For businesses still trading, buyers advertise roughly $100K to $2M (self-reported). Regulated material and lots of cleanup push practices to the bottom of that range.

04

Keeping patients out

Patient information creeps into admin email as well, in referral letters, billing arguments and no-show notes. Stripping out names is not the same as anonymising a record. One study showed 15 demographic details can single out 99.98% of Americans.

05

How much of your time it takes

Less than most owners expect. By the buyers' own estimates the owner's part is roughly 1 to 3 hours: a scoping call, deciding what is in and out, and approving the export. The buyer can usually work with your IT person or provider on the export itself.

FAQ

Questions, answered

Is my company big enough?

Buyers typically set a floor of 20 to 30 employees and want three-plus years of records. A handful have no minimum, and a few only count staff in US offices.

Do buyers want patient charts?

Usually not. Health records are often excluded, and the deal focuses on office operations.

Is this allowed under HIPAA?

That depends on what is shared and how it is de-identified. Ask a healthcare lawyer before signing.
